This Privacy Policy describes how Robin (“Company,” “we,” “us,” or “our”) collects, uses, processes, and protects the information associated with the Gina Tea AI assistant service (“Gina Tea” or “Service”) and the website where this policy is posted (the “Website”).

We are committed to protecting the privacy and security of your data, especially the sensitive internal documents provided to Gina Tea.

1. The Two Types of Information We Collect

We collect and process two primary categories of information:

A. Website Information (Collected from visitors to the Landing Page)

This information is collected when you visit the Website, inquire about Gina Tea, or sign up for a demo/waitlist.

B. Service Information (Collected from Customers using Gina Tea in Slack)

This highly sensitive information is collected when a company (“Customer”) integrates Gina Tea into their Slack workspace to provide the AI assistant service.

The core information provided by the Customer for Gina Tea to function. This includes: HR Policies, IT Guides, Operations Manuals, CRM Records, Workflow Documents, and any other internal knowledge base documents.

Solely to train and enable Gina Tea to accurately respond to internal employee queries.

Query Data

The questions asked by employees in Slack to Gina Tea, and Gina Tea’s subsequent responses.

To improve the accuracy and relevance of Gina Tea’s responses for the specific Customer, and for service monitoring and maintenance.

Customer Metadata

Slack workspace ID, user IDs of administrators/users, integration settings.

To manage the service integration, billing, and technical support.

2. Scope and roles

We understand that the Service Information you provide is your company’s proprietary and confidential data. Our commitment to its security is paramount:

  • No Sharing or Training: Your Internal Documents and Data will not be shared with third parties (except as necessary for service hosting and operation, under strict confidentiality), and will never be used to train any model outside of your specific Gina Tea instance.

  • Data Isolation: All Customer data is logically isolated. Your data is strictly used for providing the Service to your company only.

  • Encryption: Data is encrypted both in transit (using SSL/TLS) and at rest (using industry-standard encryption protocols).

  • Deletion: Upon termination of the Service agreement, all Internal Documents & Data will be permanently deleted from our servers within 30 days, in accordance with the service terms.

  • Temporary Storage of Client-Uploaded Data: Gina Tea does not permanently store Customer-uploaded Internal Documents & Data on its central servers. All uploaded content is stored only temporarily for operational processing and is automatically cleared when deleted by the Customer or upon service termination.

  • No Long-Term Retention for Model Training: Customer data is processed solely to enable Gina Tea to function within the Customer’s workspace and is not retained for long-term use or incorporated into any global training datasets.

  • End-to-End Encryption of Conversations: All user conversations and interactions with Gina Tea are encrypted end-to-end, ensuring confidentiality and preventing unauthorized access during transmission or processing.

3. How We Share Information

We do not sell your data. We only share information with third parties in the following limited circumstances:

  • Service Providers: We use trusted third-party services (e.g., cloud hosting platforms, email delivery services, analytics tools) to operate the Website and Service. These providers are required to adhere to strict data protection and confidentiality agreements.

  • Legal Requirements: If required to do so by law, subpoena, or if we believe that such action is necessary to comply with the law and the reasonable requests of law enforcement.

  • Business Transfers: In connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company, provided the receiving party agrees to respect your data privacy.

4. Your Data Protection Rights

Depending on your location and jurisdiction, you may have the following rights:

  • Access:  The right to request copies of your personal data.

  • Rectification:  The right to request correction of inaccurate data.

  • Erasure: The right to request that we delete your personal data.

  • Restrict Processing:  The right to request that we limit the processing of your data.

  • Data Portability: The right to request that we transfer the data we have collected to another organization, or directly to you.
 

Customers of the Gina Tea Service can typically manage, update, or delete their Internal Documents & Data directly through the integration settings or by contacting their designated account administrator.

5. Children’s Privacy

Our Website and Service are not directed to individuals under the age of 18, and we do not knowingly collect personal information from children under 18. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete such information.
